Terms & Conditions
The basis of your contract with Flourish & Flotts Wedding Cakes.

Please take a few moments to read through these Terms & Conditions. They form the basis of your contract with Flourish and Flotts Wedding Cakes (hereafter “F&F”). These do not affect your statutory rights.
“You” refers to the client(s), whether individually or jointly. Both clients are jointly and individually responsible for fulfilling this agreement.
Payment of your booking fee constitutes acceptance of the following:
1. Order process
1.1 All orders are subject to acceptance and availability.
1.2 You are responsible for providing valid contact details and ensuring accuracy during the order process. An Order Form will be sent to you once the design is confirmed and again with your final invoice ten weeks prior to your wedding.
1.3 Once your booking fee has been paid, you will receive a receipt and an Order Form for confirmation.
2. Payment policy
2.1 Payments can be made by bank transfer or in cash.
2.2 A non-refundable, non-transferable booking fee of £75 is required to confirm your order and secure your date. Orders are not confirmed until this fee is received.
2.3 This fee covers initial design and admin work and secures your wedding date.
2.4 The final balance is due at least eight weeks before your wedding. The final Order Form will be sent ten weeks prior. Payment of the final balance confirms the accuracy of the Order Form.
2.5 Failure to pay the balance by the due date will result in cancellation of your order with no refund of the booking fee.
3. Delivery of your cake
3.1 If applicable, please provide contact details for your planner or venue coordinator.
3.2 Delivery typically occurs between 9am–11am on the wedding day, unless agreed otherwise.
3.3 Any changes to delivery address or time must be approved by F&F and may incur additional charges.
3.4 Once the cake has been delivered or collected, it is your responsibility.
3.5 F&F reserves the right to omit or alter placement of externally provided decorations if there are safety concerns.
4. Changes to your order
4.1 Changes must be requested at least eight weeks in advance and are at F&F’s discretion. Additional fees may apply.
4.2 Reducing the order value may incur fees depending on timing and work already completed.
4.3 Reductions of over 20% of the original order value will incur a £50 charge and may result in cancellation of the order at the discretion of F&F. In the event of cancellation, the £75 booking fee will not be refunded.
4.4 Changing the venue may result in cancellation if F&F cannot accommodate the new location. In such cases, the £75 booking fee will not be refunded.
4.5 Date changes are treated as cancellations unless otherwise agreed in writing. The booking fee is not transferable.
5. Cancellation policy
5.1 You may cancel up to eight weeks before the wedding by written notice.
5.2 The £75 booking fee is non-refundable and non-transferable.
5.3 If cancelled within eight weeks of the wedding, the full balance is still due, as alternative bookings are unlikely at short notice.
5.3.1 If ingredients or supplies have not yet been purchased or can be reused, their cost will be deducted from the final balance.
5.3.2 Any paid delivery fee will be refunded unless offset against other amounts owed.
5.4 In the unlikely event that F&F must cancel (e.g., due to illness), a full refund including booking fee will be issued. Liability is limited to the amount paid.
6. Postponement policy
6.1 Voluntary postponements are treated as cancellations. A new booking fee and contract will be required if a new date is agreed.
7. Colours and design
7.1 Colour matching is not guaranteed due to variations in materials and food colourings.
7.2 Designs are created based on your order details. Please verify everything thoroughly.
8. Non-edibles
8.1 A list of non-edible items (e.g., dowels, wires) will be provided to the venue. It is your responsibility to ensure these are removed before serving.
9. Fresh flowers
9.1 If fresh flowers are supplied by a florist, F&F is not responsible for their safety or toxicity. Any damage caused by external suppliers after setup is not the responsibility of F&F.
10. Food allergy disclaimer
10.1 F&F operates in a kitchen where allergens including milk, eggs, nuts, gluten, and sulphites are present. While efforts are made to minimise risk, allergy-free products cannot be guaranteed.
10.2 Please notify F&F of any dietary requirements or allergies at the time of booking.
11. Hiring of equipment
11.1 A £75 refundable deposit is required for equipment hire, in addition to any hire fee.
11.2 The deposit duration and conditions will be detailed in the Order Form.
11.3 Deposits will be refunded if items are returned in good condition and on time.
11.4 Lost, damaged, or late returns will result in full loss of the deposit.
11.5 Responsibility for hired equipment passes to you upon delivery.
12. Images
12.1 F&F may photograph your cake for social media and marketing. These images remain the property of F&F.
12.2 Any shared images from your photographer will not be used without your and their permission.
13. Complaints
13.1 If you are unhappy with your cake, you must return the affected tier(s) within 48 hours for inspection.
13.2 If a refund is deemed appropriate, it will only cover the affected tier(s). Liability is limited to the amount paid.
